Privacy Policy

Last updated: 24 September 2026

This Privacy Policy explains how Robur Systems (“we”, “us”, “our”) collects and uses personal data from visitors to our website. We are committed to protecting your privacy and handling your data openly and lawfully, in line with the EU General Data Protection Regulation (GDPR) and Lithuanian data protection law.

This policy covers visitors to our website only. It does not cover the handling of client or supplier information in the course of our consulting work, which is governed separately by our client agreements.

1. What personal data we collect

We collect personal data in two ways.

When you use our contact form, we collect the information you provide, which typically includes:

  • Your name
  • Your email address
  • Any other information you choose to include in your message

When you browse our website, we collect limited information through analytics cookies (only if you consent). This may include:

  • Your approximate location (country or city level)
  • The pages you visit and how long you spend on them
  • The type of device, browser, and operating system you use
  • How you arrived at our site (for example, a search engine or a link)

We do not collect any special categories of data (such as health, political, or biometric data), and we do not knowingly collect data from children.

2. Why we use your data, and our legal basis

We only process your data where we have a lawful basis to do so under the GDPR.

What we doWhyLegal basis
Respond to your enquiryTo reply to messages sent through our contact form and follow up where appropriateOur legitimate interest in responding to enquiries, and, where relevant, taking steps at your request before entering into a contract (GDPR Article 6(1)(f) and 6(1)(b))
Understand how our website is usedTo measure traffic and improve the site through Google AnalyticsYour consent (GDPR Article 6(1)(a))

Providing your data through the contact form is voluntary, but we cannot respond to your enquiry without it. You can browse our website without consenting to analytics.

3. Cookies and analytics

Our website uses cookies. Cookies are small text files stored on your device.

Essential cookies are needed for the website to function and do not require your consent.

Analytics cookies are set by Google Analytics, which we use to understand how visitors use our site. These are not essential, so we only set them after you give your consent through our cookie banner. You can withdraw your consent at any time by adjusting your cookie settings, and you can also block or delete cookies through your browser settings.

Google Analytics collects the information described in Section 1. We have configured it to avoid collecting more data than we need.

4. Who we share your data with

We do not sell your personal data, and we do not share it for marketing purposes. We do use trusted third parties to run our website, and they process data on our behalf:

  • Hostinger: our website hosting provider. Our server is located in Lithuania. Hostinger processes visitor data as part of hosting the site.
  • Google (Google Analytics): provides our website analytics, as described above.

We may also disclose data if we are required to do so by law.

International transfers

Our hosting and our data are located within the EU (Lithuania). However, Google may process analytics data outside the European Economic Area, including in the United States. Where this happens, the transfer is protected by appropriate safeguards, including the EU–US Data Privacy Framework and/or the European Commission’s Standard Contractual Clauses.

5. How long we keep your data

We keep your data only as long as we need it.

  • Contact form enquiries are kept for as long as necessary to deal with your enquiry and any follow-up, and then deleted. Unless a longer period is required (for example, if we enter into a business relationship), we delete enquiry data within 24 months of last contact.
  • Analytics data is retained according to our Google Analytics settings, currently 24 months, after which it is automatically deleted or aggregated.

6. Your rights

Under the GDPR, you have the right to:

  • Access the personal data we hold about you
  • Rectify data that is inaccurate or incomplete
  • Erase your data (“right to be forgotten”)
  • Restrict how we process your data
  • Object to processing based on our legitimate interests
  • Data portability — receive your data in a portable format
  • Withdraw consent at any time, where we rely on consent (this does not affect processing done before you withdrew it)

To exercise any of these rights, email us at hello@staging.robursystems.com. We will respond within the timeframe required by law (normally one month). Exercising your rights is free of charge in most cases.

7. How to complain

If you believe we have handled your data improperly, please contact us first at hello@staging.robursystems.com so we can try to put things right.

You also have the right to lodge a complaint with the Lithuanian supervisory authority:

State Data Protection Inspectorate (Valstybinė duomenų apsaugos inspekcija) Website: vdai.lrv.lt

8. How we protect your data

We take reasonable technical and organisational measures to keep your data secure, including serving our website over a secure (HTTPS) connection and limiting access to the data we hold. No method of transmission over the internet is completely secure, but we work to protect your data and to deal properly with any breach.

9. Changes to this policy

We may update this policy from time to time. When we do, we will change the “Last updated” date at the top. Significant changes will be made clear on this page.
